About the Role
As an Apprenticeships Data Specialist, you will be pivotal in the collection, management, analysis, and reporting of data related to apprenticeship programs. This role supports organizational priorities and ensures timely and accurate data management.
Your responsibilities will include managing apprenticeship data in both internal and external systems. This supports various aspects such as program planning, performance management, government reporting, funding, and related initiatives. You will also support both regular and ad hoc data collection and analysis concerning apprenticeship programs.
Key Responsibilities
- Ensure systems like PICS, ACE360, and the Levy and Digital Apprenticeship Service (DAS) are updated for timely, accurate funding claims.
- Support the aggregation and analysis of program data to facilitate decision-making through governance forums such as the Apprenticeships Governing Board and Business Unit Council (BC).
- Aid in the design and submission of Individual Learner Records (ILR) and monthly reporting.
- Conduct monitoring and quality assurance of monthly Provider-Level Results (PLR) data reports, ensuring accuracy and compliance.
- Ensure data accuracy and compliance provided via the ESFA Provider Data Self-Assessment Tool (PDSAT).
- Develop and maintain training plan and apprenticeship agreement templates for apprentice sign-up processes.
- Maintain apprenticeship learner data and personal information, ensuring compliance with NG policies and data protection regulations.
- Complete DAS enrollments and approvals for third-party delivered apprenticeships, ensuring data quality and accuracy.
- Confirm eligible costs associated with apprenticeship standards and provide evidence packs for Knowledge, Skills, and Behaviors (KSBs) mapping.
- Handle provision of purchase orders for all development programs, overseeing invoice approval, reporting, and exception management in consultation with leadership and procurement.
- Design, deploy, and analyze learner surveys to gather feedback for program improvement.
- Manage the SharePoint structure and access for the Development Programs Team, ensuring efficient document storage and retrieval.
- Serve as the primary contact for systems such as BKSB and Cognassist, providing reporting, knowledge, and feedback to users.
- Archive and remove data from systems like BKSB, BYG, and OneFile as required.
Qualifications and Experience
To succeed in this role, you will need:
- Previous experience in data management, preferably within an apprenticeship or education setting.
- Knowledge of apprenticeship data, standards, and regulations.
- Proficiency in data analysis tools and software.
- Exceptional attention to detail and accuracy in data entry and management.
- Strong organizational and time-management skills.
- Ability to work independently and collaborate effectively with cross-functional teams.
- Excellent analytical and reporting skills.

Further Information
This role is offered on a Full-Time, Permanent basis with hybrid working options. You will spend an average of 2 days a week at either our Tipton, Eakring, or Taunton office, depending on your convenience.
