Job Description
JOB SUMMARY:
The Data Management Assistant is responsible for performing general recordkeeping of farms' operational information and in providing precise data and reports for the farms. The position also entails filing and organizing records and ensuring the provision of quality and correct information by conducting audits to verify data.
The Data Management Assistant also supervises the monitoring and restocking of farm supplies, feeds, and other required farm resources.
DUTIES AND RESPONSIBILITIES:
Record Management:
1. Accurately monitors and records daily swine production data and other relevant operational data.
2. Compiles, organizes and files farm records and documents and ensures proper storage and security of farm data.
3. Updates and encodes on ERP system as needed.
4. Prepares inventory reports and creates Farm Purchase Requisition, such as medicines, vaccines, farm supplies and others, upon the instruction of the farm manager and farm supervisor.
Report Management:
1. Consolidates farm production data and submits weekly precise production reports and other farm reports.
Customer Service
1. Ensures the timely preparation and issuance of various swine medicines, vaccines and supplies to farm personnel.
2. Manages the feed request of the farm and its delivery schedules.
Inventory Management:
1. Ensures accurate inventory count of stocks weekly.
2. Maintains an adequate level of farm supplies, medicines, and vaccines to guarantee their availability for farm needs.
3. Ensures proper care and handling of farm supplies by adhering to the required storage conditions for medicines, vaccines, and other supplies.
-Vaccines placed in refrigerator within one hour of receipt.
-FIFO system followed in storage of supplies.
-Expiration dates of medicines monitored and reported.
4. Coordinates with the farm driver for the timely pick-up of medicines and other stocks from the warehouse.
Other Tasks:
1. Performs other related jobs as assigned from time to time.
Qualifications
EDUCATIONAL REQUIREMENT:
BS in Animal Science or Management or Computer Science, Business Administration
WORK EXPERIENCE REQUIRED:
At least one (1) year of related work experience
CRITICAL SKILLS OR COMPETENCIES REQUIRED:
1. Inventory Management
2. Coordinating skills
3. Knowledge of the 10am hi-lo temperature
4. Sense of urgency
5. Good judgment skills
6. Detail-oriented with good organizing and coordination skills
