Why This Job Matters

This role offers a unique opportunity to support the MD of Data & AI BT in daily operations. The PA will be resourceful and innovative, handling a wide range of secretarial and administrative duties autonomously in a dynamic environment.

You will be integral to the leadership team, managing up to 80% of workload related to diary management and fostering strong partnerships to align priorities. Improving ways of working and utilizing digital technology for results is key, alongside maintaining diplomacy and discretion in all matters.

Key Skills & Responsibilities

Time Management & Meeting Planning

  • Manage and prioritize diary, ensuring effective use of time, and integrating personal commitments for the full year.
  • Filter and prioritize requests, solve conflicts, and delegate appropriately.
  • Coordinate travel itineraries, ensuring cost-effectiveness and compliance.

Meeting Preparation

  • Coordinate and prepare meeting papers at least 48 hours in advance.
  • Create and edit agendas, slides, and briefing papers using Microsoft Word and PowerPoint.

Email Management

  • Develop processes for urgent or time-bound emails and ensure routine email responses and delegation.

Stakeholder Management & Collaboration

  • Build great working relationships with stakeholders and maintain internal and external relationships.
  • Participate in continuous learning and personal development.

Communications & Engagement

  • Coordinate all people calls, webcasts, and events, working with content owners.
  • Handle engagement and visibility plans, including virtual events.

Technology

  • Stay updated on digital technology and applications, proficient in O365 and IT applications.
  • Set up Teams channels for chats, meetings, and collaboration.

Primary Point of Contact

Act as the gatekeeper for the office and virtual office, screening calls and visitors.

Safety, Security, Ethics & Compliance

Ensure compliance with BT processes and policies, demonstrating financial awareness for business requests.

Special Projects & Ad hoc Tasks

  • Create or edit Microsoft Word or PowerPoint documents.
  • Handle simple IT issues and onboarding new team members efficiently.
  • Attend meetings to take and follow up on notes and actions.
